In this key role, you’ll be the face of our organization, ensuring smooth daily operations while maintaining a welcoming and professional environment for both our team and visitors. If you thrive in a fast-paced environment, succeed in multitasking, and have a passion for organization and creating a positive atmosphere, we want to hear from you!Key Responsibilities:Office Operations & Coordination:• Be the first point of contact for visitors, clients, and guests, offering a warm, professional, and welcoming experience.• Answer and transfer phone calls, take messages, inform appropriately and ensure that office operations are smooth and effective, playing a key role in the seamless functioning of the workspace. • Provide secretarial support as required.• Perform miscellaneous job-related duties as assigned.• Run errands outside the office as required. Office Organization & Cleanliness:• Ensure the reception area and common office spaces are clean, organized, and presentable at all times.• Coordinate office cleaning services, making sure all areas, including restrooms and kitchen, are maintained to high standards.• Maintain stock levels of office supplies, cleaning materials, and stationery, and reorder as needed.• Liaise with suppliers, vendors, and service providers to ensure timely delivery of goods and services.Administrative Support:• Process and manage incoming and outgoing mail, packages, and deliveries in a timely and organized manner.• Reply to emails. • Assist with data entry, document preparation, scan, copy, printing and filling of documents. • Manage the office calendar, coordinating appointments, meetings, and book conference rooms. • Maintain and organize physical and digital files, ensuring easy access to documents and records.• Help with basic office administrative tasks as needed, including coordinating internal events and employee needs.• Provide support to other departments with various administrative tasks.Communication & Correspondence:• Maintain an organized inbox and keep track of important messages and requests.• Prepare and distribute office memos, updates, and communications to the team.Travel Coordination:• Arrange and coordinate travel plans for employees, including booking flights, transportation, and accommodations. What We’re Looking For:• Excellent communication skills with a friendly, approachable attitude.• A proactive problem-solver with an eye for detail and a passion for creating a positive first impression.• Ability to multi-task, stay organized, and manage time efficiently.• Comfortable with office software tools (Microsoft Office, etc.).• A team player who works well under pressure and adapts quickly to changing needs.• Fluent in both English and Greek. • At least 2 years of experience in office administration or receptionist role.
